Does anyone else using VPASP struggle with order management? We have found this to be the products weakest element, and its very poor for us in our situation. It may be that its specific to our business type, but its shortcomings really surfaced during the busy xmas period. Our goods are fine foods, and as such, many have a short shelf life, so we constantly need to be on top of what orders are in, and what stock is needed, and importantly, when its needed to arrive. Most people preorder for Xmas and want a specific delivery day.

Essentially, wouldn’t it make sense to be able to view orders by; shipment dates? We have quite a number of customers who want orders sent on specific dates, so being able to view orders by when they ship would be more sensible. It would also prioritise them correctly. Also, being able to track when payment has been taken (Not valid if you take payment when ordering, but useful for order management if you process payments manually) Then there’s the stock control element; or rather there isn’t one. You know, simple stuff… like Print a list of all stock needed to for fill orders being dispatched between X & Y date range. Or Print a picking list, with order ids and dispatch methods. Or print a list with all messages and order ids so that customer messages can be batch processed then matched to the parcels.(With a flag that you’d set when messages are done)
Then a flag that indicates an order has been generated for processing. So that if someone else starts working on the system, its clear what orders have been printed for processing. There’s a whole lot of other things that could/should be there, but these are the ones that seem most needed. We haven’t had a chance to look at V7, as some/all of these may be addressed.

Does anyone else struggle with order management?

Hi there

Your requirements are fairly specialised and would probably be best addressed with a custom module realistically as 99% of our customers would not need this functionality.

When creating modules we weigh up what is going to be useful to most people and then prioritize our developments based on this.

VPASP is an extremely powerful starting point for building a web site but we are not realistically able to be everything to everyone unfortunately. As we are open source you can have any extra features you need that are specific for your business built into the system.

For some of your queries you could use the Query Manager to extract the information you need though by entering the sql query. For example to get the products that need to be picked.

In version 7.0 you can build a query and then export the results as an Excel spreadsheet.

Also, you could possibly use the order pending feature that allows you to create custom order status messages that you can use internally. This is available in all versions and just needs to be switched on in the admin.

Most shopping cart systems are not intended to handle serious order management operations. You might want to consider using a separate order management system, such as our Stone Edge Order Manager (www.StoneEdge.com/ordermanager.htm). The Order Manager is a desktop application that is fully integrated with vpasp (and over 40 other shopping carts and other Internet sales channels). It has many of the capabilities you are looking for, plus a lot of other useful features designed for small-to-medium companies.
